Privacy Policy — Tharaa Organizer

Tharaa Organizer is the app used by authorised event staff at Tharaa Developments events to check guests in at the door. This policy explains what the app handles, what it sends, what it keeps, and what it never touches.
It covers the mobile app only. Guest invitations, the event platform behind it at tharaa-events.com, and our website at tharaadevelopments.com are covered by Tharaa Developments' general privacy policy.
Who is responsible
Tharaa Developments ("we", "us") decides how the information described here is used and is the data controller.

The app was built for us by CloudSoft5, who process data only on our instructions.
Who uses this app
Only event staff we have authorised. Accounts are issued by us and cannot be created inside the app. If you are working one of our events and do not have an account, ask your event coordinator.
Guests do not use this app. Their information appears on a staff member's screen at the moment of a check — see "When a pass is scanned" below.
What the app handles
When you sign in
The email address and password you enter are sent to our servers over an encrypted connection so we can confirm you are authorised. We also send a short description of your device — its platform and operating system version, plus a random identifier generated on first launch — so we can name and, if needed, revoke that session.
The random identifier is created by the app itself. It is not your device's hardware ID, advertising ID, or any other identifier that could follow you to another app.
When a pass is scanned
The camera reads the QR code and the app decodes it on your device. Only the resulting code is sent to our servers, together with your session, so we can confirm whether that guest may enter.
The reply may include the guest's name, category, phone number, and the time an earlier entry was recorded. That information is shown on screen for the duration of the check and held only in the app's memory. It is not written to the device's storage, and the app never sends guest information anywhere.
The camera
The camera is used for one purpose: reading QR codes. The app takes no photographs and records no video. Camera frames are processed on the device and discarded immediately; they are never saved, uploaded, or retained.
You can refuse camera access. The app will explain why it needs it and offer a link to your device settings. Without it, the app cannot scan and has no other function.
What stays on your device
- Your session token, in the iOS Keychain or the Android Keystore
- Your email address, if you chose "Remember me"
- Your language and appearance preference
- The random device identifier described above
Signing out erases all of these except the remembered email address, which is kept so you do not have to type it again. Uninstalling the app removes everything.
What we do not do
- We do not track you, in this app or across other apps and websites
- There is no advertising, and no advertising identifier is read
- There are no analytics, no crash reporting, and no third-party tracking tools of any kind
- We do not sell or rent personal information to anyone
- We do not collect location data, contacts, photos, files, or your device's address book
Sharing
Information from this app goes to our own event platform and nowhere else. We share it outside our organisation only when the law requires it, or where necessary to establish, exercise, or defend a legal claim.
Why we are allowed to handle this information
We rely on:
- Contract and legitimate interests — running events, admitting the right people, and preventing passes from being reused. The staff sign-in exists to make each check attributable to a person.
- Legal obligation — where record-keeping or a lawful request requires it.
How long we keep it
- Sign-in records and entry records are retained by our event platform for as long as the event and our record-keeping obligations require, and in any case no longer than 12 months after the event, unless a longer period is required by law.
- Session tokens expire, and are revoked immediately when you sign out.
- Nothing about a guest is retained by the app itself.
Security
Every request the app makes uses HTTPS. The app is built so it cannot fall back to an unencrypted connection. Your session token is stored in the operating system's protected keystore rather than in ordinary app storage. Access to the event platform is limited to staff who need it.
No system is perfect, but these are the measures we consider appropriate for what the app handles.
Your rights
Depending on where you live, you may have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to complain to a data protection authority.
To exercise any of these, or to have your staff account and its data deleted, email info@tharaadevelopments.com. We will respond within 30 days. We may need to confirm your identity first.
Children
The app is a workplace tool for adult staff. It is not directed at children and we do not knowingly collect information from anyone under 18.
Where information is processed
Tharaa Developments is established in Egypt and our event platform is operated from Egypt. Where a service provider processes information outside Egypt on our behalf, we require contractual safeguards obliging them to protect it to the standard described in this policy and to act only on our instructions.
Changes
If this policy changes materially, we will update the date at the top and, where the change affects staff meaningfully, notify you through the app or by email. The current version always lives at this address.
